Example Applications
SmartsIntegrator is great for connecting and
mapping outputs of one system to inputs of another, either directly or via workflow
logic. Essentially it performs a role as an integration hub, though
its' inherent flexibility makes it applicable to a wide range of tasks. It also allows you to define entry and exit points for connectivity
outside of your enterprise, and aids you in implementing Service Oriented Architecture
practices.
Typical patterns of use would be :
(1) Simple Messaging
One of our clients for example is in the process of replacing a legacy J.D.Edwards
accounting system with a BlueCube equivalent. Until the transition is complete,
however, it is necessary to keep both systems live and in synch. SmartsIntegrator
helps them to achieve this by processing transaction, exception, day-end and month-end
reports from BlueCube into positional text import files which are then fed into
J.D.Edwards, and vice versa Similarly SmartsIntegrator manages a daily reconciliation
by correlating J.D.Edwards text export files against the BlueCube database, and
adjusting or alerting as necessary. SmartsIntegrator is able to use workflows
and forms to automatically process adjustments within a certain budget range or
relating to certain nominal codes, whilst escalating more significant issues for
further attention.
(2) E-Commerce
Another client - a large network of bakeries - uses SmartsIntegrator to coordinate
materials and deliveries. In this instance SmartsIntegrator connects the flour
suppliers, transport providers and major customers (who are all enabled for electronic
trading), with the production control software, accounting software and logistics
and route planning software. The result is seamless - if a supermarket increases
the size of their order for example, by working with the other software SmartsIntegrator
will automatically work out where there is spare capacity to fulfill the order,
ensure there are sufficient materials and personnel on site at the appropriate time,
arrange optimal transport to collect and deliver the order, and ensure the customer
is billed appropriately. As the order is received electronically straight
into SmartsIntegrator, all of this can happen without explicit human involvement
(although in this case a workflow is actually used to submit the plans via email
and gain explicit approval for any production changes).
Another customer runs a medium size logistics company, and receives orders from
major grocery suppliers and supermarkets straight into SmartsIntegrator (via AS/2
and FTP), which then
forwards them, to Microsoft Axapta for processing. As larger companies prefer
to use their own formats for electrionic trading, much of this solution relates
to mapping orders, confirmations, invoices and shipping notices between the Microsoft
Axapta format and the format that the customer wants to use.
(3) Business Process Management
The third typical pattern of use relates to Business Process Management. Here,
SmartsIntegrator is used to formalise company business processes into workflows.
The automation of business processes in this way can significantly increase efficiency,
business visibility, quality of service and consistency.
For example in a simple electronic trading scenario, a workflow could be designed
to :
- Receive an incoming order
- Verify that the customer account is not on hold
- Verify that all requested items are in stock, and launch relevant supplier orders
where appropriate
- Calculate a total cost
- Calculate a delivery date
- Check that the customer has sufficient credit on his account to process the order.
If he hasn't, send an email to a Manager requesting approval for a higher credit
limit. If this email is not responded to within 24 hours, send to the Manager's
Manager. If the request is refused, contact the customer requesting pre-payment.
- Create an invoice
- Arrange a courier (e.g. via the UPS web service)
- Send a confirmation email
- etc.
In many companies all of this is done by hand, taking time and effort and introducing
significant potential for errors.
As well as saving time and effort and increasing consistency, the formalisation
and automation of business processes can yield great visibility into the business
and be excellent fodder for Business Intelligence processes. For example on
analysis it may become clear that where a customer places a high value order and
has to wait for authorisation for more than four hours, there's a 50% chance that
he will then cancel the order and go elsewhere. Improving service at this
point could clearly have a beneficial impact on revenues.
Similarly analysis may show bottle-necks in processes (e.g. if orders spend 90%
of their lifetime waiting on the warehouse), indicating where it may be beneficial
to focus resources.
